Download Study Data Before Administrator Access Ends

Transcripts and Media Exports allow you to download all of your Study’s data before administrator access ends. There are several formats of exports available. This article will cover the different types of exports and transcripts, their purposes, and how to download them. 

There are benefits to each of the transcripts and exports in Recollective. To ensure you're leveraging the entirety of the data you've collected, we recommend downloading a few different versions.

Before your Administrator Access ends, we recommend dedicating some time to generate and download your Study’s transcripts. As the data will not be accessible after this point, don’t hesitate to download exports in multiple outputs and formats. The majority of Transcripts and Exports are available for download via the Study Admin menu. Each transcript and export is configurable and can be customized according to your needs. 

The Activities Transcript 

The Activities Transcript provides all Participant response data from your Study's Activities and is available in the following formats:

HTML Compiles all of your response data into an HTML document that can be exported and saved as a PDF. This export is ideal for record keeping purposes, as it includes all the response data in a single file. 
Excel Creates a ZIP file containing one excel spreadsheet per activity. By default, photos and videos will be presented as hyperlinks that can be clicked to view the media in the Recollective platform. Photos can be embedded directly in the file as an Optional Includes. 
CSV Creates a single CSV file (viewable in Excel) with all response and Participant data. Additionally, this output provides any profiling and segmentation information about Participants and details about each response’s likes, dislikes, and any excerpts created. Media in this transcript will also be presented as hyperlinks leading back to the Recollective platform.

Once you’ve selected your desired output, you can select whether you would like it to include both instructions and responses, or just the response data (the CSV output will always include instructions). You’ll also notice options for inclusions, customising the data’s date range and Participants as well as how they’ll be presented in the transcript.

📍 Go to Study Admin > Transcripts > Activities

To download Excel or CSV Activities Transcript:

  1. Select the CSV or Excel output and customisations. You can also filter the transcript to focus on specific topics.
    1. If you wish to include Photos in the Excel output, select the Photos from the list of Optional Inclusion. This will increase the file size resulting in longer download times.
  2. Select Generate Transcript
  3. Select Download Transcript once it has been generated

To download an HTML Activities Transcript: 

  1. Select the HTML output and customisations. You can also filter the transcript to focus on specific topics. 
  2. Select Generate Transcript
  3. Select Print
  4. Change the Destination to Save as PDF
  5. Select Save

Please note that you will also need to download media separately using the Photos and Videos export options.

Discussions Transcript

This transcript will provide you with all of the Participant Discussion posts and replies for any Discussions Topic within the Study. Like the Activities Transcript, you’ll be able to choose from an HTML, Excel or CSV output and can customize the export as needed. To generate a discussions transcript:

📍 Go to Study Admin > Transcripts > Discussions

To download an Excel or CSV Discussions Transcript:

  1. Select the CSV or Excel output and customisations. You can also filter the transcript to focus on specific topics. 
  2. Select Generate Transcript
  3. Select Download Transcript

To download an HTML Discussions Transcript: 

  1. Select the HTML output and customisations. You can also filter the transcript to focus on specific topics. 
  2. Select Generate Transcript
  3. Select Print
  4. Change the Destination to Save as PDF
  5. Select Save

Messages Transcript

If you’d like to keep record of the communications between Participants and Admins in your Study, consider downloading the Messages Transcript. This export will provide you with a record of all direct messages within the Study. To generate a Messages transcript:

📍 Go to Study Admin > Transcripts > Messages

To download an Excel or CSV Messages Transcript:

  1. Select the Excel or CSV output and customisations. You can also filter the transcript to focus on specific topics. 
  2. Select Generate Transcript
  3. Select Download Transcript

To download an HTML Messages Transcript: 

  1. Select the HTML output and customisations. You can also filter the transcript to focus on specific topics. 
  2. Select Generate Transcript
  3. Select Print
  4. Change the Destination to Save as PDF
  5. Select Save

Media Exports

If you’ve collected media responses over the course of your Study, you’ll need to download the videos and photos provided by participants. Photos and videos can be exported separately using the Photos and Videos options within the Transcripts menu.

The Photos and Videos exports consist of one or more ZIP files containing all the media submitted by participants over the course of the study. 

To download Photos and Videos:

📍 Go to Study Admin > Transcripts > Exports header

  1. Select Photos or Videos
  2. Select Generate Archive
  3. A series of ZIP files will be generated. Depending on the amount of media within the study, these files may take a moment to generate.
  4. Select each of the generated files to download them

Quantitative Data Transcripts

If you’ve collected any quantitative data over the course of your Study, you can download this data via the Study Admin menu. To generate this transcript, select the Quantitative Data option on the Transcripts section of the Study Amin menu. This transcript is available in Excel or CSV output. 

Select the Excel output option for a detailed export including all response data in a spreadsheet with separate sheets devoted to Activity/Task setups for your reference.

The CSV output provides a simplified version of the quantitative data with no additional sheets summarising Activity/Task setup.

When you’re ready to download the data, click Export then Download Transcript. 

Any charts associated with quantitative data can be exported via your Study’s Summary tab. After navigating to this tab, click Charts. Here you’ll be able to click into each chart and table using the Details button. On each chart’s details page, click Export and select either from 4 output options - PNG, JPEG, PDF, and SVG.

Live Video Group Chat Exports

Media files associated with live video group chats are not housed in the Study Admin menu. 

To export the video recording of a Live Video Group Chat: 

📍 Go to the Activities Tab > click on the  Live Group Chat Activity
  1. Click the Transcript tab 
  2. Click Export Meeting
  3. Select Video: Frontroom or Video: Frontoom + Backroom to download the video recording

After clicking the Export button, you’ll also be able to download video transcripts as Excel or HTML files. Subtitles are also available to download here as VTT files.

Live Video Interview Exports

Like Live Video Group Chats, media files generated from live video interviews can be found on their Activity page. 

To export all interview recordings from a given Activity:

📍 Go to the Activities Tab > click on the  Live Video Interview Activity
  1. Click on Activity Options 
  2. Select Transcripts > Export Videos 
  3. Choose Export Videos: Participant Only or Export Videos: Host included. A ZIP file will begin downloading once a selection is made.

To export a single interview recording:

📍 Go to the Activities Tab > click on the  Live Video Interview Activity
  1. Select the Meeting you want to export
  2. Click on the Recordings tab
  3. Click Export Meeting below the video 
  4. Select Video: Participant Only or Video: Host Included to download the video recording
  5. Note: An additional export option may be available if a translator attended the meeting. The export option will be labeled ‘Video: Language’ and will provide 2 separate files- a video with the translator’s audio and a subtitle file to serve as a translated transcript of the video

After clicking the Export button, you’ll also be able to download video transcripts as Excel or HTML files. Subtitles are also available to download here as VTT files.
