How to Update Participant Profiles in Bulk

Use this article to learn more about how to update multiple participant profiles simultaneously in Recollective using the Bulk Import feature.

Who can perform a bulk update to update participant profiles?

Analysts and Moderators can use a Bulk Import to add missing profile data, correct existing attributes, or update segment assignments across a Study.

Steps to Bulk Update Participant Profiles

  1. Go to Study Admin > Add Participants

  2. Locate the Bulk Import a Spreadsheet pane

  3. Click Start Import

  4. On the import page, upload your prepared spreadsheet.

  5. Optional: If you are unfamiliar with the spreadsheet layout, click Create Template to generate a pre-formatted spreadsheet file

  6. Review the column header information and assign the appropriate data type for each column

    • For New Profile Fields/Segments: Select New Segment or New Custom Field

    • For Existing Profile Fields/Segments: Select Assign Segment or Assign Custom Field

  7. Once each column mapping has been validated, click Continue

  8. Review the mapped data preview for any formatting errors or warnings. A set of Import Settings will appear once the data has been validated

  9. Click Start Import

Once the above steps have been completed, participant profiles will update with the newly assigned attributes/custom fields, or segments.

Important Considerations

When updating existing participant profiles, review your spreadsheet columns carefully regarding passwords:

  • Do Not Include Password Columns for Routine Updates: If you are updating general profile data (such as Custom Fields or Segments), remove the Password column from your spreadsheet.

    • Including a Password column during a bulk update will overwrite existing participant passwords with the values provided in the spreadsheet.

  • Intentional Password Updates Only: Include a Password column only if you explicitly intend to reset or overwrite passwords for the imported participants.
